Commercial and usage rules for accounts, workspaces, billing, paid plans, data export, documents, audit, retention, mobile modules, and team workflows. Last updated: 2 June 2026.

Account, login, and security

  • the user is responsible for accurate registration data, a strong password, access protection, and authorised use of the account
  • the tenant admin is responsible for workspace members, roles, permissions, invitations, internal rules, and removing access for former collaborators
  • if we suspect account abuse, limit circumvention, a security risk, or breach of terms, we may temporarily restrict access
  • users must not share credentials in a way that prevents accountability for changes or approvals

Plans, limits, payments, and billing

  • prices, limits, features, trials, and billing intervals are shown in pricing, order forms, or checkout
  • paid plans and add-ons may renew automatically unless cancelled before the next period starts
  • a downgrade usually takes effect from the next billing period unless agreed otherwise
  • unpaid or disputed payments may lead to restriction of paid features, document sending, or support
  • refunds are provided where required by law, payment rules, or individual agreement; for B2B services, use of the service does not create an automatic refund right

Workspace data and export

The customer owns and controls business data, clients, suppliers, invoices, templates, and internal records entered into the service. OnlineOffice processes them to operate the service, provide security, support, billing, and comply with legal obligations as described in the privacy policy.

The goal is no unnecessary lock-in: where the function is available, users may export account data, companies, recipients, invoices, reports, or documents. Export scope depends on the plan, technical options, permissions, and legal limitations.

Invoices, documents, templates, and correctness

OnlineOffice helps prepare invoices, QR payments, reports, documents, templates, and workflow outputs. Outputs are working tools, not legal, accounting, or tax advice.

The user is responsible for factual correctness, VAT rates, due dates, IBAN, variable symbol, supplier and customer details, accounting treatment, signatures, internal approvals, and mandatory archiving according to their situation.

Archiving, retention, audit, and legal hold

  • audit logs are append-only from the user interface perspective and support accountability, internal controls, and evidence
  • locked periods, approvals, legal hold, or retention rules may block editing or deleting selected records
  • invoices and related documents may require long-term archiving under the customer's accounting, tax, or internal rules
  • after account termination, we may keep data needed for legal obligations, security, dispute handling, and claim protection

Backups, restore, and operational protection

We operate the service with reasonable professional care and use technical measures such as backups, logging, monitoring, and incident recovery. Backups are operational protection for the service, not a replacement for the customer's own archive.

If a customer needs guaranteed restore, a specific retention policy, SLA, or individual restore testing, this must be agreed in writing or included in the relevant paid plan.

Third-party services and integrations

  • some features depend on third-party services such as Stripe, Google, email providers, Geoapify, BySquare, public registers, or hosting
  • we do not guarantee third-party availability, rules, pricing, or outages
  • if a third party changes its API, terms, or availability, we may modify, restrict, or replace the related feature
  • the user is responsible for correctly configuring their own access credentials, email, payment details, and integrations

Mobile app, attendance, and location

  • the mobile app may require notifications, foreground location, or background location depending on enabled modules
  • Smart Presence, attendance, geofencing, and Smart Trips must be used transparently, lawfully, and only for a legitimate work or record-keeping purpose
  • employees and collaborators should be informed about purpose, scope, permissions, and retention
  • mobile modules must not be used for hidden tracking or disproportionate monitoring of people

Acceptable use

  • do not bypass authentication, plan limits, billing, audit mechanisms, or security controls
  • do not upload harmful files, unlawful content, personal data without authority, or data you are not allowed to process
  • do not perform scraping, load testing, penetration testing, or automated attacks without written consent
  • do not use the service in a way that harms OnlineOffice availability, reputation, security, or other customers

Intellectual property

OnlineOffice, service design, source code, database structures, product names, documentation, and system templates remain the property of OnlineOffice or the relevant rights holders.

The customer keeps rights to their own data, text, logos, stamps, templates, and documents entered or created in their workspace, unless law or agreement provides otherwise.

Availability, maintenance, and liability

We operate the service with reasonable professional care. Outages, planned maintenance, security restrictions, feature changes, or external API changes may occur.

Unless a separate SLA is agreed, availability is provided on a best-effort basis. To the extent permitted by law, we are not liable for indirect damage, loss of profit, loss of business opportunity, or damage caused by incorrect data entered by the user.

Termination, export, and deletion

  • the user may request account closure or use self-service deletion where available
  • before termination, we recommend exporting invoices, directories, reports, documents, and accounting records
  • OnlineOffice may terminate or restrict access for breach of terms, security risk, non-payment, or service abuse
  • deletion may not apply to data that must be retained for legal obligations, audit, security, disputes, or claim protection

Changes to terms and governing law

We may change these terms, especially due to service changes, legal requirements, security reasons, or business model changes. For material changes, we will provide reasonable notice through the website, app, or email.

These terms are governed by the laws of the Slovak Republic. Consumer rights or mandatory legal provisions are not limited where they apply.
